AI features
CoPortal includes two AI-powered features that save significant admin time: parsing meeting notes into quotes, and extracting tasks from WhatsApp conversations.
Meeting notes → Quote
When creating a quote, you don't have to manually type every line item. Click Parse from notes below the line items area and paste in:
- •Meeting notes from a discovery call
- •An email brief from the client
- •A rough scope document
- •Bullet points about what needs to be done
The AI reads the text and extracts:
- •A suggested quote title
- •Line items — each deliverable with a description, quantity, and unit price
- •Scope notes to include in the quote's notes field
Pricing is calculated based on your workspace's default hourly rate and the estimated hours for each deliverable. Set your hourly rate in Settings → Workspace.
Reviewing AI output
The AI output is always a starting point — not a final quote. Review every line item before saving:
- •Adjust quantities and prices to match your actual scope
- •Rename line items if the AI's wording doesn't match your style
- •Add or remove items the AI missed or added incorrectly
- •Edit or clear the notes field as needed
If you already have line items on the quote, the AI will ask whether to replace them or add on top.
WhatsApp → Tasks
Paste a WhatsApp conversation export into the WhatsApp import panel inside any project. The AI reads the conversation and identifies:
- •Tasks — “Can you add X” / “We need to do Y”
- •Queries — open questions that haven't been answered yet
- •Decisions — things that were agreed or confirmed
Extracted items are added to the project task board — tasks to To Do, queries to the Query column.

How the AI works
Both features send your text to GPT-4o mini (OpenAI) for processing. If the primary model is unavailable, the request automatically falls back to Google Gemini. Processing typically takes 3–8 seconds depending on text length.
Your text is sent to the AI provider for processing and is subject to their data policies. Avoid including highly sensitive personal information (e.g. passwords, ID numbers) in the inputs.
Checking your plan
If you're on the Free or Solo plan and try to use an AI feature, you'll see an upgrade prompt. Upgrade in Settings → Subscription.
